“Unlocking AI for Trade Show YPs” is contributed content from Rich Stone, CEO, EXPOCAD®.
Important to know now: AI isn’t coming for your job — it’s coming for your to-do list and those who don’t use AI. That’s great news, especially in the trade show industry, where speed, creativity and coordination matter. Here’s how you can use AI today — not “someday” — to get noticed, get promoted and get way more done. Using AI is NOT optional.
Think of AI as Your Overachieving Intern (PDA, btw not public display of affection)
AI tools like ChatGPT and many other platforms you’ll find aren’t just novelty tech, they’re your new personal digital assistant (PDA), brainstorming buddy, and second set of hands (without needing a coffee break, vacation or calling in sick). WAY IMPORTANT; you’ve got to learn to prompt like a pro for now.
Prompting 101: Talk to AI Like You’d Talk to a Smart (but Literal) Intern. Think New Employee

Let’s say you want help writing a post-show summary email. If you just say, “Write a follow-up,” you’ll get something bland or screwed up. AI uses the entire Internet, add limitations, persona and rails. (This is how you end up with headline making AI mistakes.) But if you say:
“Act like a marketing coordinator at a B2B tradeshow company. Write a follow-up email to exhibitors summarizing the show highlights and thanking them for participating. Keep it upbeat and under 150 words.” That’s prompting. Be clear. Be specific. Give context. You can even include your tone: professional, friendly, clever — you name it.
Here are five quick-hit ways AI can save your sanity on the job:
Booth Planning & Floor Logistics
Use AI to generate ideas for layout, signage, or traffic flow based on audience type. Ask:
“Give me five creative booth layout ideas for a 10×20 space at a tech tradeshow targeting college-age attendees.”
Email Blasts & Exhibitor Messaging
Generate tailored messaging for VIPs, first-time exhibitors and attendees, or no-shows.
“Write three versions of a reminder email to exhibitors who haven’t paid their invoice.”
Panel Topics & Session Titles
Brainstorm titles that are fresh and click-worthy:
“Give me 10 panel titles about the future of AI in live events, written to appeal to Gen Z attendees.”
Social Media Posts
Quick-turn posts with your brand’s vibe:
“Write an Instagram caption promoting our upcoming booth. Make it cheeky, two lines, include a hashtag.”
Attendee Personas & Segmentation
Input registration data and ask AI to group attendees into profiles and suggest content or outreach strategies.

Personal Growth: Using AI to Supercharge Your Career
AI isn’t just for work tasks — it’s a career cheat code. Here’s how to wield it.
Revamp Your Resume
Ask:
“Rewrite my resume summary to sound confident, results-driven, and tailored to event marketing.”
Interview Practice
Ask AI to roleplay as a hiring manager:
“Pretend you’re interviewing me for a job as an operations lead at a convention center. Ask five tough questions.”
Professional Writing
From awkward emails to LinkedIn posts, AI polishes your voice without rewriting who you are.
Time Management
Use it to block your day, prioritize tasks, and even set email templates for saying no (politely but firmly).
Learning on Demand
Not sure what “freight marshaling” or “pipe and drape” means? Ask AI to explain it like you’re five — or like you’re briefing the CEO. Your call.
A Word of Caution: AI is Smart, Stay on Top of the Technology
AI gives you options. You give it judgment. Always double-check facts, names, addresses, and tone — especially in customer-facing materials. And don’t copy/paste without a scan for cringe. TL;DR (Too Long; Didn’t Read)
AI is your intern, your editor, your brainstormer — but only if you know how to prompt it (for now).
Use it for booth ideas, emails, titles, personas, resumes, interviews, and more.
The better you explain the what and why, the better results you’ll get.
One almost final thought. AI prompting skill is important, but this is a changing environment. In a VERY SHORT timeframe, AI is going to prompt AI for you, fact check, and verify. Stay on top of the dynamic technology with your favorite AI podcast! Listen and read.
AI won’t replace you. But the person using AI might.
