Maximizing AI Assistance: Treating ChatGPT as Your New Employee is contributed content from Rich Stone, CEO, EXPOCAD®.
In the rapidly evolving landscape of technology, we’ve journeyed from the simple yet groundbreaking Palm Pilot — a Personal Digital Assistant (PDA) that fits in our pockets. It was far from being a personal digital assistant as viewed by today’s technology. Now, AI models like ChatGPT, capable of handling complex tasks and conversations, indeed are PDAs. Yet, despite these advancements, many users underutilize AI tools, often due to a lack of understanding of how to interact with them effectively, mistrust, and wrong answers.
Imagine hiring a new employee on their first day. They have a wealth of general knowledge and potential but know nothing about your company’s specific processes, culture, general institutional knowledge or expectations.
Your new employee is standing next to you. You look at them and say, “Please, get me some blue Post-it Notes from the storeroom.”
Your new hire looks back at you blankly as 1) Where is the storeroom? 2) More specifically, where are the sticky notes once in the storeroom? 3) Don’t they come in different sizes? What size? We often make assumptions about information that may not be previously known to others.
“Where is the storeroom?”
“OK. OK,” you say to your new assistant, “You are right. The storeroom is in the second hallway on the left. Turn left, and it is four doors down on the right. It says Supplies on the door.”
Off the new hire goes to find blue Post-it Notes. Of course, those other unanswered questions percolate to the top once there. What size and where in the storeroom. Doing their best, they find the yellow Post-it notes and return them to you. You look at the yellow notes, which happened to be too small and not blue. The assistant tells you that the storeroom has more products than Staples, and this is the best they could do. They didn’t know where the blue sticky notes were in the storeroom.
Have you ever had a bad/weird answer from AI? Without proper guidance, a new hire’s contributions might miss the mark. The same principle applies when engaging with AI like ChatGPT. You must provide clear, detailed instructions to unlock its full potential—much like mentoring a new team member.
The Importance of Specificity
When you pose a vague question or give an ambiguous command to ChatGPT, the response you receive may be equally vague or not quite what you were seeking. This isn’t because the AI lacks capability; it wasn’t given enough direction.
For example:
- Vague Prompt: “Tell me about marketing.”
- Specific Prompt: “Provide a summary of the most effective digital marketing strategies for small businesses in the retail industry.”
In the first instance, the AI has to guess what aspect of marketing you’re interested in — strategies, history, trends, challenges? You’ve given it a clear target in the second example, enabling a focused and valuable response.
Think Like a Mentor
Approach your interactions with AI as if you’re guiding a newcomer:
- Provide Context: Just as you would explain the background of a project to a new employee, give the AI some setting.
- Example: “I’m preparing a presentation for investors about renewable energy trends. Can you help summarize the key points about solar energy advancements in the past five years?”
- Be Specific About Goals: Clearly state what you want to achieve.
- Example: “Draft a polite email requesting a meeting with a potential client to discuss collaboration opportunities.”
- Clarify Assumptions: Don’t assume the AI knows your preferences or the nuances of your request.
- Example: “Write a social media post for LinkedIn announcing our company’s recent award, highlighting our team’s hard work and dedication.”
Embracing AI as a personal digital assistant can revolutionize how you work, learn, and communicate. By treating ChatGPT as a new employee who requires clear instructions and background information, you empower it to provide more accurate and valuable responses. The key lies in your prompts — be detailed, be specific, and watch as your “new hire” quickly becomes an indispensable part of your team.
Accuracy: More precise answers that closely align with your needs.
Efficiency: Reduced time spent on follow-up questions or revisions.
Productivity: Enhanced ability to leverage AI for complex tasks.
Remember, the quality of the answers you receive is directly proportional to the clarity of the questions you ask. So, carefully craft your prompts thoughtfully and unlock the full potential of AI assistance in your daily endeavors.
The above is just one of many essential steps to help you increase your productivity using AI. One more bonus – ALWAYS USE THE PAY FOR VERSION! For about $20 per month, you get a personal assistant. It’s a bargain!!
